Company Information Bodyboard Escapes Ltd
Our Agreement
Upon confirmation of your booking for a Bodyboard Escape, either in writing or via an e-confirmation letter from our company, a binding contract is established.
Flight Arrangements

Given the abundance of attractive offers from online agents and fluctuating fares, we advise arranging flights through an ABTA or ATOL bonded travel agent.

Please note that your flight contract is not with our company; therefore, we are not liable for any delays or complications that may occur with your flights.
Flight Details
Thank you for providing your flight details. We appreciate your cooperation in ensuring a smooth travel experience
Submission Deadline
-
Please send us your flight details at least one week prior to your departure. This allows us to make necessary arrangements for your arrival.
Airport Arrival
-
A representative from Bodyboard Escapes will be waiting for you in the designated area of the destination airport.

After collecting your luggage, proceed to the arrivals area to meet our representative.
-
Departing the airport without meeting your representative may result in personal liability for any incurred costs.
-
If your flight is delayed, cancelled, or if you miss it, you will be responsible for arranging and covering the cost of your transfer to the destination (e.g., taxis, boats, etc.).
Early Arrival or Late Departure

If you arrive before the trip starts or depart after it ends, you are responsible for the cost of connecting to/from the accommodation.
Getting to the Airport on Time
-
Ensuring timely arrival at the airport is your responsibility.

Prepare for potential delays due to weather, traffic, or other factors.

We recommend monitoring weather and news reports, especially during inclement weather.
-
Verify that your flights are booked to the correct destination.
Changing Your Booking
We understand that plans may need adjustments, and we strive to accommodate any requested amendments to your booking. However, please be aware of the following:
Administration Fee

Any changes to your booking will incur a standard administration fee of £100 for a Bodyboard Escape.
-
This fee is payable immediately upon making the requested changes.
Holiday/Weekend Date Alterations
-
Bodyboard Escapes reserves the right to alter holiday/weekend dates due to unforeseen circumstances.
-
We are committed to collaborating with you to manage these changes.
-
Rest assured, we will promptly inform you of any developments that necessitate a date alteration.
FCO Guidelines and Trip Cancellation

If the Foreign and Commonwealth Office (FCO) advises against travel to your destination, your trip will be cancelled.
-
In such cases, we recommend seeking reimbursement for your trip and flight costs through your personal travel insurer.
Cancellations
-
Cancellations must be communicated in writing and will take effect on the date they are received by the company.

The following cancellation charges will apply:
Cancellation Policy

Notice Period and Refundable Amounts:
-
12 weeks or more before the trip: 50% of the total cost is retained by Bodyboard Escapes.
-
Less than 12 weeks before the trip: 100% of the total cost is retained.
-

Please note that if your cancellation falls within the terms of your insurance policy, you may be eligible to submit a claim.
Enrolment Forms
-
Important Reminder: Enrolment forms must be completed 30 days prior to the trip’s start date.

The safety and well-being of our guests are paramount at Bodyboard Escapes. Completing the enrolment form in advance is imperative for us to prepare for your visit.
-
It allows us to consider any medical or dietary needs and evaluate your bodyboarding level, ensuring you are placed in the appropriate group and visit suitable locations daily.
-
Submission of completed forms is required no later than 30 days before your trip begins.
-
For bookings made within 30 days of the trip, the form must be returned within 24 hours of payment.
Payment
-
Full payment secures your spot on a Bodyboard Escape.
-
Payment can be made over the phone with a credit/debit card, in cash, or via our online invoicing system.
-
We may offer a payment plan under certain conditions, with your place secured after the initial instalments.
-
Details of the payment plan, including instalment dates, will be provided.
-
Instalments will be automatically charged to the initial payment card.
-
A minimum of 7 days’ notice is required to amend payment dates or card details.
Insurance Requirements
-
All guests booking with Bodyboard Escapes must secure comprehensive travel insurance.
-
Your policy should include coverage for ‘travel disruption’ and ‘cancellation’ as standard provisions.
-
For activities such as surfing or bodyboarding, additional coverage may be necessary. It is imperative that your insurance policy encompasses these activities.
-
Neglecting to obtain travel insurance constitutes a breach of the contract with Bodyboard Escapes.
-
Domestic travellers within the trip’s host country (e.g., residents of America joining a trip in California) are exempt from the medical travel insurance requirement, provided they have a personal healthcare plan or are covered by their nation’s health service. However, we still advise securing insurance for trip disruption and cancellation to safeguard against unforeseen circumstances.

For destinations with limited medical facilities, such as Southern Sumatra, ensure that your insurance offers adequate coverage, including Medi-Vac services.
Suppliers’ Conditions

Our suppliers may impose their own booking conditions or conditions of carriage, to which you will be subject.
-
These conditions may limit the supplier’s liability or grant them the authority to modify or cancel arrangements without penalty.
-
Copies of such conditions are available upon request at our offices or the offices of the respective suppliers.
Client Protection

In accordance with the Package Travel, Package Holidays, and Package Tours Regulations 1992 (SI 1992 No 3288), all payments made to Bodyboard Escapes are deposited into a trust account managed by an independent trustee – the Bodyboard Client Account at [trustee details].

Funds in this account remain inaccessible until the completion of your holiday, ensuring your financial protection.
Exclusions from the Trip Cost
The following are not included in the trip cost:

Passport and visa expenses, where applicable.

Gratuities, except as specified.
-
Personal insurance and flights.
-
Excess baggage fees.
-
Laundry services.
-
Alcoholic Beverages.
-
Airport taxes.
-
Personal items and incidental expenses.
Surf Conditions
-
Bodyboard Escapes meticulously selects camps based on their quality. However, we cannot be held accountable for suboptimal surf conditions or inclement weather.

Our resorts are chosen for their above-average performance and natural surroundings. In the absence of surf, we regret that we are unable to provide compensation or alternative arrangements.

Guests are encouraged to conduct thorough research and ensure satisfaction with their chosen resort.
Weather and Surf Conditions for Bodyboard Escapes

In the event of calm seas or stormy weather during a bodyboarding coaching weekend, we offer alternative activities to maximize ocean conditions. These may include Stand-Up Paddleboarding (SUP), Coasteering, Kayaking, and more.

We adapt the weekend’s schedule to best utilize prevailing conditions, potentially concentrating sessions on days with optimal wave conditions.
Environmental Risks

Participating in a surf holiday with Bodyboard Escapes involves exposure to the natural environment, which lies beyond our control.

Potential hazards include wildlife encounters and natural disasters.
-
While safety remains our priority, we cannot assume liability for natural occurrences or the risks they pose to guests.

Caution and personal responsibility are advised.
Contests
-
Please be aware that the organisation of IBA contests is conducted by the International Bar Association (IBA). Consequently, the date and location for these contests are subject to change at the discretion of the IBA. As a result, we cannot guarantee participation as a spectator at this event.
Our Liability

Our obligations are limited to providing the escape, and we ensure that our suppliers offering services or facilities included in your holiday do so with reasonable skill and care.

It is essential to demonstrate that reasonable skill and care have not been exercised if you wish to make any claims.
-
Standards related to safety, hygiene, and quality may vary across different transport modes and holiday destinations. Occasionally, these standards may be lower than what you would expect in the UK.
Services and Facilities

The services and facilities included in your holiday will be considered to be provided with reasonable skill and care if they comply with any applicable local regulations (such as those set by the Civil Aviation Authority). If no local regulations apply, they will be deemed reasonable based on local standards and customs.
Responsibility

As agents, we represent hotels and contractors providing accommodation, transportation, or other services.

All coupons, exchange orders, and receipts are subject to the tariffs, terms, and conditions under which these services are provided by the hotels or contractors.

The Company shall not be liable or responsible for death, injury, or property damage, except as permitted by law, whether due to negligence by our staff, agents, or employees or arising out of or in conjunction with our services.
Privacy

Any information you provide to Bodyboard Escapes is held under the strictest security.

If you choose to book a holiday, request a quotation, or seek resort information, we may retain your details to send you updated newsletters or provide details of special offers. Rest assured, we do not sell customer details to any third parties.

When you visit our site, we do not use cookies to monitor your activity.

Jurisdiction
